BEFORE GETTING YOUR QUOTATION..

If you have ever arranged a company trip, you already know how this goes

The department head approves a trip to Japan for a team of 30.
Now it is your job to make it happen.

You contact three agencies.

One replies in two days with a number but no breakdown. Another takes five days and sends a 12-page PDF covering Tokyo and Osaka with pricing your finance team cannot compare to the first quote. The third agency does not reply at all. (Sound familiar?)

You pick the option that is easiest to explain to management. You forward the quotation with a note justifying why this agency over the other two. Management comes back with a revision. They want Kyoto added and the hotel standard upgraded. Now you go back to the agency. The agency contacts their network partner. The network partner contacts the local team in Japan. The revised quotation takes another three days to come back through the chain.

And that is just the pricing for one destination. You still have flights, hotels, ground transport, visas, insurance and airport transfers to coordinate. If the trip covers multiple countries, each leg is potentially a different vendor. Each one is a separate invoice your accounts team has to process after the trip.

Here is the thing. That process does not have to be that long.

What if the agency you contacted sent your request to the local team in Japan on the same day, came back with a single quotation your finance team could read on one page and sent one invoice when the trip was done?

That is what planning looks like when the trip is built around what the agency has. Here is what it looks like when it is built around what you want.

this is how we work

What your quotation covers

Every corporate trip we arrange includes the same scope. You are not piecing it together from separate vendors.

Itinerary design and a full cost breakdown

You describe the trip once. We come back with the route and a breakdown your finance team can review without follow-up calls. A 5-day business trip to Korea or a 2-week incentive program across Japan and Vietnam. Same process.

Visa lodgement and entry advisory

We handle the applications and advise on destination-specific requirements. K-ETA for Korea. Tourist visa rules for China. Health entry protocols where applicable.

Airport meet and greet

Your group is met on arrival at Narita, Incheon, Istanbul, or wherever the trip starts. A representative handles the transition from the terminal to ground transport.

Corporate billing

Your accounts team processes one document from one vendor. Not a stack of receipts from five different providers across three countries.

Flights, hotels and ground transport

All booked through the local team in the destination country. One agency coordinates everything, even when the trip crosses borders.

Travel insurance

We present plan options from affiliated insurers. You select the one that fits your group and budget.

After-hours and emergency support

During the trip, someone is reachable. A delayed flight in Osaka, a hotel change in Ankara, or a medical situation in Hanoi. The local team is on the ground. We are a call away.

You share the vision. We make it happen.

STEP ONE

Share the trip details

Destination, group size, travel dates and the type of trip.

An incentive trip for 80 people to Japan. A business inspection in Ho Chi Minh City for a team of 6. A department retreat in Turkey for 25.

A form on this page, a phone call or a WhatsApp message. If you have a brief from management, send that too. (Takes about two minutes.)

STEP TWO

We design the route and get pricing

We put together the full itinerary and send it to our local partner team in the destination country.

Flights, hotels, transport, activities, visas and insurance are all quoted together.

If the trip covers Japan and Korea, both local teams quote simultaneously. Your request reaches them the same day you send it to us.

STEP THREE

You receive a per-person quotation

A single document with every item on its own line.

Your finance team sees what each part of the trip costs without needing to call you for context. Hotels in Tokyo, transport from Narita, guides in Kyoto, the domestic flight to Osaka.

All visible. Management reviews it. If they want changes, we revise and requote. You are not the one chasing the agency for an updated number.

The quotation, the revisions and the consultation are all free until you confirm the booking.

FAQ

Questions companies ask before sending their first trip details

Questions companies ask before sending their first trip details

Can you handle large groups?

We arrange travel for any group size. A department retreat of 12 in Seoul or a company-wide incentive for 100 across three cities in Japan. The model works at any scale because coordination happens with fewer parties in the chain, not more. Fewer companies involved means the process actually gets simpler as the group grows.

What if something goes wrong during the trip?

Your group has a line to our team throughout the trip. We coordinate with the local ground team in real time. If a flight is cancelled in Osaka, a hotel needs switching in Ankara, or a transfer falls through in Hanoi, the people who arranged the trip are the same people handling the fix. You are not explaining the situation to someone reading about it for the first time.

What is included in the quotation?

Everything listed on this page. Itinerary design, flights, hotels, ground transport, visa lodgement, travel insurance, airport meet and greet, after-hours support, and corporate billing. Every cost on its own line. We also tell you upfront what we do not offer: integrated online booking platforms, data management dashboards, and business continuity documentation. If those are requirements for your company, a full-scale travel management company is a better fit than us.

What destinations do you cover?

Japan, China, Vietnam and Korea in Asia. Forty-four countries across Europe, including Turkey and Iceland. Switzerland, Portugal, Spain, France, Germany and dozens more. If your destination is on our list, we have a local partner team there. If it is not, we tell you before you invest any time.

How is this different from a travel management company?

A travel management company manages your entire corporate travel program. Booking platforms, policy compliance, expense reporting, duty of care documentation. We do not do that. We arrange specific trips. A business trip to Korea. An incentive program across Japan. A group event in Turkey. If your company needs ongoing travel program management, we are not the right fit. If you need one trip arranged well with transparent pricing and a quotation in days, that is what we do.

You already have the details. We are ready to quote.

We arrange private tours through the same partnership model. Japan for the cherry blossoms. Turkey for the coast. Iceland for the Ring Road. You tell us where you want to go and what matters to you. We design the itinerary, arrange everything on the ground and send you a quotation with every item listed.
